Who is responsible
Dimas Visser develops Research Logbook independently from the Netherlands and is the controller for the project's beta signup, feedback and support records. Research Logbook is the project name.
For support or privacy requests, email researchlogbookapp@outlook.com or use the support and privacy form.
Your local notebook
The app stores entries, tasks, sources, imported pictures, captions, project settings, editable templates and history/recovery in your selected notebook folder. Setup settings can include your name or initials, project title and time zone. Browser storage can hold preferences and unfinished drafts. Per-user app state remembers the notebook location, and local session information allows the app to work on your computer.
The app runs a service restricted to this computer to display and save the notebook. During normal writing it does not send notebook content to Dimas Visser, an AI provider or an analytics service. It has no app account, advertising tracker, cloud sync or automatic notebook upload. The browser, operating system and Microsoft Store have their own data practices.
Notebook files and exported backups are not encrypted by the app. Keep your device and folder private and maintain a separate backup. If you choose a cloud-synchronised folder, that provider may transfer your files under its own terms. Following an external reference or opening the optional feedback form connects to the chosen service; the app does not automatically attach your notebook.
What you send online
The beta interest form asks about Windows availability, research stage and your current note-taking method. Email and willingness to provide feedback are optional. The feedback form receives the category and description you enter, with optional technical context, reply email and redacted screenshot. Form records also include submission time and answers.
If you email the project, Microsoft Outlook receives your sender address, message, email headers and any attachments. Dimas Visser can read the submitted forms and project messages to operate the beta, investigate problems and respond. Providing contact details does not subscribe you to a general marketing list. A beta-interest address is used only for a relevant beta-availability message or requested follow-up; there is no automated mailing programme.
Do not send confidential research, information about research participants, health or financial information, notebook files, backups, passwords, session files or identity documents. Use a made-up example and remove names and file paths from screenshots. The project does not sell your records or publish your identity or report without separate permission.
Why records are used
Beta administration and feedback are processed on the basis of legitimate interests (Article 6(1)(f) GDPR): running the requested small beta, understanding whether it is usable, fixing defects and replying to project enquiries. Processing is limited to the information needed for these purposes, with optional contact and an ability to object.
Privacy-rights requests and records strictly necessary to meet a legal duty are processed on the basis of legal obligation (Article 6(1)(c)). If a future activity relies on consent, the request will explain it separately and you can withdraw that consent. This notice does not itself ask you to consent to new activities.
You can use the app without submitting either online form or providing an email. Without an address, the project cannot reply personally or email you about access. Signup does not guarantee access or make the beta available immediately. The project does not use your records for automated eligibility decisions or profiling.
Services and transfers
Tally BV provides the forms and stores responses for the form owner. Tally's data information describes European form storage and its subprocessors; file uploads use its storage providers. Tally also processes service-operation data under its privacy notice. Its data processing agreement describes respondent-data processing and transfer safeguards.
Microsoft provides the project Outlook mailbox and separately handles Microsoft Store acquisition and account information. See the Microsoft Privacy Statement for its processing, retention and international-transfer safeguards. Sending email shares the message with Microsoft and the email services involved in delivery.
This information website uses Cloudflare Pages hosting. Serving a page involves connection information such as IP address, request time, requested page and browser information. The site's own code sets no cookies, uses no analytics scripts, embeds no forms and stores no visitor database. Platform delivery, security and any platform cookies are covered by the Cloudflare privacy policy.
Online providers may process service data outside the EEA. Their linked notices and agreements explain applicable adequacy decisions or contractual safeguards and how to obtain information about them. Contact the project about a transfer involving your project record. This website does not send local notebook files to these providers.
How long records are kept
Local notebooks stay under your control until you delete them. The app does not remotely erase them. Consider history/recovery, browser drafts, backups and synced copies as well as the current entry. Save and quit before making a complete copy or removing the app. Uninstall is not notebook erasure; you may need to select your retained folder after reinstalling.
Identifiable beta signup and feedback records are manually reviewed for deletion within 90 days after the relevant cohort ends. If no cohort is assigned, they are reviewed within 12 months of submission. Standalone support correspondence is reviewed within 90 days after the case is resolved. Open cases are reviewed monthly and only information still needed for resolution is retained. Minimal records may be kept longer where a specific legal duty or an active dispute requires it.
The review covers form responses, exports, downloaded attachments and project inbox copies. Unneeded identifiable records are deleted or made anonymous; anonymous product findings can be kept. This is a manual process. Tally explains that deleted submissions can remain in Trash for a further 90 days before permanent deletion. Provider backups, security records and legally required retention follow the relevant provider's policy; moving a record to Trash is not instant erasure of every copy.
Your choices and rights
Contact researchlogbookapp@outlook.com or the privacy form to request access, correction, erasure or restriction of your project records. Where applicable, you can request portability, withdraw consent, and object to processing based on legitimate interests. You can object to direct marketing at any time. Withdrawal does not affect earlier lawful processing.
Provide only enough information to locate your record, such as the address you used and approximate submission date. Do not send identity documents. Requests are normally answered within one month; if an extension is legally permitted, you will be told why. Rights can have legal limits, and the project cannot identify an anonymous response without sufficient information or remotely access your notebook.
You may complain to the Dutch Autoriteit Persoonsgegevens, or the supervisory authority in the EEA country where you live, work or believe an infringement occurred. You do not have to contact the project first. See EU information about your data rights.
Changes
The notice date will change when this notice is updated. A new use of information, such as telemetry or a different contact programme, will be explained before it starts, with consent requested where required. Material beta updates will be described on the status page.
